Overseas Exam Arrangements for University of Nottingham Registered Students

Overseas exam arrangements during the May/June session are only made for students:

  • who are normally resident overseas and have external resits;
  • have been given permission by the International Office under mobility arrangements;
  • have to be overseas during the exam period as a requirement of their course; or
  • other exceptional circumstances approved on an individual case basis. 

In cases where the candidate is not an overseas resident, arrangements will not be made unless the circumstances and reasons have been discussed with the International Office and/or School/Department.

Please note:   overseas exam arrangements will not be made for students who are on holiday or temporarily overseas during the published examination periods.  The dates of the exam sessions for the 2011/12 academic year are published here.

Overseas Exam Arrangements - Undergraduate No Award

Incoming exchange students studying in Nottingham for the Autumn Semester are expected to sit the for the normal assessment relating to the modules to which they are signed up.  In exceptional circumstances exchange students may apply to the School/Department to arrange an alternative form of assessment. Where this is not possible the student must return to Nottingham to complete the assessment.

Schools should not advise students that they may sit overseas at this stage – for incoming students this is only possible if the student has been given permission to sit overseas as part of an exchange agreement with his/her Home institution.

Modules not permitted to be taken overseas

There are some examinations which you will not be given permission to take overseas.  Schools/Departments  provide annually a list of exams which MAY NOT be taken overseas.   Before contacting your School or Department for permission to take an examination overseas please ensure that your module is not the not permitted list of modules.

If there are exceptional circumstances affecting a student, these will be considered on a case-by-case basis with, if necessary, the Head of Examinations & Timetabling and the Head of International Mobility.

Cost of Taking Overseas Examinations

If you cannot progress to the next stage of your degree or complete your award without being reassessed you will be informed via the Assessment Channel.  You will receive a letter from the Student Administration Office detailing the requirements, the form of reassessment, and the costs involved.

In addition to the University resit fee, there is an administrative charge for taking examinations overseas of £90 for each examination period no matter how many individual examinations are taken in that session. You will also be responsible for paying any local charges and/or costs directly to the institution making the local arrangements.

You can pay the overseas examination fee via the "My Finance" tab on the Portal. The invoice will show approximately two weeks after the deadline for submitting the application form. Once the arrangements have been made by the Exams Office and the invoice has been produced on the "My Finance" tab, you will be required to pay the full amount even if you do not continue with the overseas resit examination. Any local costs must be paid directly to your chosen institution.

What to do if you want to take examinations abroad

Do not wait until you receive official notification via the Portal or an official letter from the University before applying to sit overseas. As soon as your School informs you of your results start making the arrangements.

1. Check the not permitted list of modules to ensure you may be allowed to take the exam overseas. You will not be permitted to take exams needing a computer overseas.

2. Contact your School/Department and get permission to take your examination overseas.  You must gain permission before contacting the overseas institution or the Exams Office.

3. You must select an institution from the approved list and discuss with them whether they are able to facilitate your exam. It is your responsibility to do this - the Exams Office will not make the local arrangements for you. Keep any emails confirming they are willing to let you sit your exams at their institution.

4. Please email examsoffice@nottingham.ac.uk requesting a form to complete.

When completing the form you will need to have selected an institution from the list (found in step 3 above) 

We must receive this form by 16th March 2012, 16:00. Applications submitted after this deadline will not be considered.

After your application

By submitting the application form you are confirming that you have  received confirmation from both your chosen institution and your School or Department. If you have not received these confirmations then you may not be able to take your papers overseas.

The Exams Office will contact your School/Department and overseas institution to make the arrangements for your exam.  You can find the time and date of your exams by looking at your personal exam timetable on the Portal. The complete timetable is published on the examination timetable page at the end of November for Autumn exams, 16 March for Spring exams and mid July for Aug/Sept Resits.

ALL examinations MUST be taken simultaneously with those in Nottingham. Where this is not possible, due to public holidays or closing times of your chosen institution the Exams Office will inform you of the alternative time and date.  It is not always possible to do this and if you do not have this permission you will be required to return to Nottingham to sit your examinations.

Two weeks after the published application deadline, check your personal exam timetable on the Portal to ensure that your chosen institution is showing as the location for your examinations.

Pay the Overseas examination fee (separate to any resit fees due to the University or any local administration fees) via the "My Finances" tab on the Portal.

Before your first exam you must contact your chosen institution to confirm all final arrangements and pay any local costs.

Take your University ID card with you to your exams.

Please Note: If you decide to return to Nottingham to sit your exams you will need to email examsoffice@nottingham.ac.uk to cancel your arrangements no later than one week prior the first day of the exam period. The deadline for cancelling overseas arrangements 11 May 2012.  If you do not inform the Exams Office you will still be required to pay the full overseas examination fee.

Getting your exam results

The Exams Office cannot release any exam results. Your School will tell you when your results will be available for collection, or you will be able to access them later by going to the Portal.
