Transfers and terminations

In exceptional circumstances it is possible to change your room type or hall during the year, although it can take considerable time and we would prefer to discuss ways that your problems can be resolved without a move.

Transfers within halls
• If you are in catered halls and want to transfer to another room, please submit your request to the Hall Manager and they will assist you where possible.

• If you are in a University-arranged self-catered site and want to transfer to another room, please submit your request to the site management team and they will assist you where possible. Please note there will normally be an associated transfer charge.

Transfers across halls - Requests accepted from 17 October 2011 onwards
• If you are in catered halls and want to move to another hall, you should discuss your situation with your hall warden who will advise you of student support options available. You can then fill in a Transfer Application Form for your warden to sign, and take it to the Accommodation Office.

Normally you will need to have a replacement for your room before you can transfer, and we will try to find a swap for you. This can take some time and is not always possible but we will update you at regular intervals.

• If you are in a University-arranged self-catered site and want to move to another hall, you should complete a Transfer Application Form and return it to the Accommodation Office.

Termination of licence/contract
If you are moving to non-University-arranged accommodation or leaving the University early, the following options are available:

• If you are in catered halls, you are bound under the terms of the accommodation licence to pay for the whole year’s fees. You should discuss your situation with your hall warden who will advise you of student support options available. You can then fill in a Request to Terminate Hall Licence Agreement form for your warden to sign, and take it to the Accommodation Office.

We will consider your request but normally you should expect that you will remain liable for the full year’s fees unless a replacement for your licence has been found. The University will make vacated rooms available to other students for room transfers, but room swaps will not be treated as replacements. Fees will only be refunded where your contract can be replaced with no financial loss to the University.

• If you are in a University-arranged self-catered site you will need to discuss your request with your site management team and they will advise you. You should normally expect to continue to pay for the full year’s accommodation fees unless a replacement for your contract is found.
