Why YOU should be there

Networkshop has become an established and unrivalled technical event on the academic conference calendar and attracts experts from across the UK. This is your opportunity to meet, and talk face-to-face to decision makers and influencers who may already use your products or services but need updating on new developments, or who are potential customers - this is a community who spend £220 million on Networking each year!. This year, for the first time, exhibitors are also invited to take a full and active part in the conference sessions as delegates, ensuring that you hear first hand what network managers and technical staff expect from their equipment and suppliers now and in the future.

Apart from the conference itself, exhibitors will enjoy pre and post-event publicity in the form of a link to your company website, and announcements on the Networkshop 30 website.

Location

Networkshop 30, including the conference and exhibition, will be held at the East Midlands Conference Centre (EMCC) the region's most prestigious venue. The EMCC is an award winning, purpose built centre designed for maximum flexibility and comfort for delegates and exhibitors alike. All exhibitors will be located within the Centre's main Banqueting and Exhibition Suite, while the presentations will take place within the adjacent Conference Theatre and Conference Suites. Delegates will pass through the exhibition to an adjoining marquee where meals will be served; refreshments will be available in the Suite itself, thus ensuring maximum exposure for exhibiting companies. The layout is such that no matter where you are located in the Exhibition Suite, delegates cannot fail to pass through at least three times every day. The Banqueting and Exhibition Suite is carpeted and air-conditioned, has a high ceiling and window walls giving plenty of natural light.

Set amidst 300 acres of parkland that is the campus of the University of Nottingham, the East Midlands Conference Centre enjoys a central location, easy access, ample free car parking and facilities, including all catering, all under one roof. With these benefits, we expect to attract between three and four hundred delegates, and a high standard of exhibiting companies.

Space

The exhibitor area available is based on space only, allowing a 3m x 2m stand (with a ceiling height of 4.2m). Multiple units may be taken to form a larger area. The organisers will allocate stand areas to companies according to their technical requirements, size of space booked and design of purpose built units – please supply this information on the booking form. As indicated above, all exhibitors will be in one area and the layout offers equal exposure for all stands.

Cost

The cost per stand area is £2,000 plus VAT, which includes non-residential delegate status for two exhibition staff, including all mid-morning refreshments, lunches and teas, dinner on Tuesday night and delegate bags. The Conference Dinner on Wednesday night is not included, except to sponsors of the event, but places may be purchased seperately subject to availability. Furthermore, all exhibitors' staff are entitled to attend all conference sessions. This is an innovation this year as many exhibitors have expressed interest in attending the sessions at previous Networkshops.

Exhibitor Passes

Two non-residential exhibitor Passes will be issued per 3m x 2m stand site. Passes are transferable between company representatives attending on different days but must be shown in order to gain access to the EMCC. Additional stand personnel must be booked as non-residential delegates, at £250.00 for a three day Pass.

Personnel assisting in set-up and break-down will not be issued with a Pass but may not be present between 12 noon on Tuesday and 1pm on Thursday.

Separate tickets will be issued for the Conference Dinner.

Payment

In order for us to confirm your booking we must receive a purchase order, or a cheque for the full amount, with your booking form. Invoices will be issued and must be paid in advance of Networkshop 30.

The organisers reserve the right to refuse admission to companies whose payment has not been received at commencement of the event. Cheques will not be accepted on the day as at least three days notice is required for clearance.

All requirements should be ordered and paid for in advance - late orders for equipment or additional personnel will be accepted right up to the event and invoiced afterwards, but orders received after 15th March will incur a 50% service charge.

Access and Set-up

Exhibitors will be able to access the Exhibition area and set up their stands between 11.00am and 5.30 pm on Monday 25th March. The area will be closed and secured overnight and open again from 8:00 am on the Tuesday. It is expected that all exhibitors will be ready for the start of the conference at 11.00am on the Tuesday.

Exhibitors must offload/load at the loading bay entrance adjacent to the Banqueting Suite. All facilities are at ground floor entrance. Vehicles must be removed to the car park immediately goods are delivered. Full details and location maps will be sent on confirmation.

Breakdown

Breakdown time will be 1 to 4:30 pm on Thursday 28th March. The exhibition area must be cleared by 6pm.

Exhibition Suite, Fixtures and Fittings

The exhibition area is covered in royal blue patterned carpet tiles. Carpet cannot be laid directly on top of the existing carpet. Adhesives, nails or any kind of fittings to walls, ceilings and floors are strictly prohibited. Any damages will be charged for.

Conference Guide

A Conference Guide, including an exhibition directory, will be produced for visitors. This will include a brief description of each exhibitor and their products/services. Please provide a maximum of 100 words of copy (text only, no graphics) together with main contact details - name, telephone, facsimile, e-mail, and website address, preferably with your booking form. We reserve the right to edit copy which is too long, but will send you a proof for approval if this is necessary.

Exhibitor Presentations

The conference consists of plenary sessions and more in-depth talks and discussions in parallel streams. The Networkshop organisers plan to have a separate parallel stream devoted to product presentations from exhibitors. Parallel sessions normally last 90 minutes so it would be possible for 2 or 3 exhibitors to give presentations within a given parallel session. We anticipate 3 parallel sessions within the workshop. Participation in the parallel sessions would be at no additional cost but would be on a first come first served basis. Company presenters would be expected to provide their own AVA equipment for this facility.

Insurance

Whilst we take every precaution to protect your property during the event, the organisers are not responsible for any loss or damage and we strongly recommend that you take out appropriate insurance cover.

Fire Precautions

There are stringent regulations governing materials used on site during the exhibition. All materials should be fireproofed. If you have any queries about any materials you plan to use, please contact the organisers.

First Aid

There is a fully equipped first aid box situated in the Customer Support Office in the Conference Centre, please contact them on the day should you require medical assistance.

Additional Information

The Customer Support Office can arrange photocopying, facsimile and e-mail on request, at an additional cost. A limited stock of stationery items is also kept, but exhibitors are strongly advised to ensure they bring an ample supply of velcro fixings, pads, pens and other such items they are likely to require for their stand.

Storage space is limited, so please allow for the storage of brochures and promotional materials within your stand space, or in your vehicle until required.
