About your email account

All staff, students, postgraduates and associates are entitled to a University email account.

Official University communications to staff and students are sent to University email accounts.

The University provides all users with an email address in the form of:

  • username@nottingham.ac.uk for students
  • firstname.lastname@nottingham.ac.uk for staff 

Accessing email

Information on how to access email from a range of locations is below. Please click on one of the following options for more information.

I am a student who joined the University before September 2012

Students should access their email account using a web browser by visiting the Outlook Web Access page and entering their University username and password.

Should you wish to configure other devices (iPhone, iPad, Android, etc.) to connect to your email account, please use the following settings:

Apple iOS 7 (for iPhone/iPad) settings

Use the following settings when prompted:

Account Type: Exchange

Email Address: username@exmail.nottingham.ac.uk

Server: m.outlook.com 

Domain: Leave Blank

Username: username@nottingham.ac.uk

Android (Jelly Bean) OS 4.3 and (KitKat) OS 4.4 (for tablets/mobiles) settings

Use the following settings when prompted:

Email Address: username@exmail.nottingham.ac.uk

Account Type: Exchange

Server: m.outlook.com 

Domain\Username:

Jelly Bean requires the '\' prefix.  e.g. \username@nottingham.ac.uk

KitKat does not need the '\' prefix. e.g.  username@nottingham.ac.uk

BlackBerry settings

Account Type: Microsoft Exchange (using Microsoft Outlook Web Access)

Email Address: username@exmail.nottingham.ac.uk

Mailbox Name: username

How to find your Web Access URL for BlackBerry

BlackBerry users must provide a Web Access URL as part of the set up process to connect their device to email. This URL is specific to each user.

To find the Web Access URL:

  1. open an internet browser and go to email.nottingham.ac.uk
  2. log in, and you will see the URL address changes. An example of how this may look is: https://amdprd0610.outlook.com/owa
    Please note:  Your address may be different to the example provided above. 
  3. once you have this address, add /exmail.nottingham.ac.uk to the end of it. This is your Web Access URL. For this example, the full Web Access URL would therefore be:  https://amdprd0610.outlook.com/owa/exmail.nottingham.ac.uk
 

Microsoft Outlook 2010 and 2013 (for PC) settings

Use the following settings when prompted:

Email Address: username@exmail.nottingham.ac.uk 

Username: username@nottingham.ac.uk

If you are using a device or operating system not listed above, although we cannot provide instructions with screenshots, the general settings you will be asked to provide through the mail set up process may be as follows:

Account Type: Microsoft Exchange (ActiveSync)

Email Address: username@exmail.nottingham.ac.uk

Server: m.outlook.com 

Domain: Leave Blank

Username: username@nottingham.ac.uk

I am a member of staff/research postgraduate

Staff should access their email account from a Windows based computer using Microsoft Outlook.

To access items which have been archived, the Enterprise Vault Client Tools must also be installed. 

Staff may also use Outlook Web Access to access email from a web browser.

Use the following settings when prompted:

Account Type: Exchange

Email Address: username@exmail.nottingham.ac.uk

Server: email.nottingham.ac.uk

Domain: Leave Blank

Email Address: username@exmail.nottingham.ac.uk

Server: email.nottingham.ac.uk

Mailbox restrictions

Undergraduate students and taught post graduates have the following limits. 

When a mailbox reaches:

  • 24.5GB a warning will be sent to the user
  • 24.75GB mail cannot be sent from the account
  • 25GB mail cannot be sent or received from the account 

Staff email accounts are configured to use the Enterprise Vault mail archiving system.

When a mailbox reaches a size of 100MB the system automatically moves messages which are over 30 days old into archive area. The messages in your mailbox are replaced by links to the archived message.

Messages over 15MB or addressed to more than 8000 recipients cannot be transmitted to or from University email accounts.

Sending messages to groups of people

There are two types of centrally managed lists which can be setup to enable messages to be sent to large groups of people.

Distribution lists

  • Can only contain University email addresses
  • Can be restricted for use by specific groups of users
  • Used for smaller lists of users (less than 8000)
  • More efficient when sending internal messages
  • Appear in the Global Address List

Mailman lists can:

  • contain email addresses internal and external to the University
  • be managed using a web interface
  • be used for a large list of users

Email security

Measures have been put in place to prevent spam and viruses being delivered to your email account. The MySpam email filtering service scans email entering the University network for spam, phishing and viruses before being delivered to your mailbox. Users sending University communications via email must use their University account. Personal email accounts must not be used for conducting University business or communications. Further information can be found in the Information Security Policy (PDF).
