Libraries filming and photography requests

Request permission online for filming and photography in library spaces

Our libraries are popular venues for filming and photography requests. We are proud of our spaces and student experience and it is important for us to ensure filming and photography activity follows health and safety best practice and protects the experience of visitors in our libraries.

Therefore, all fillming and photography requests must be processed via our request form.

Who can apply

  • University of Nottingham staff and students may use this form to request activity they are conducting themselves, or on behalf of approved third parties. 
  • If you are a news team, please contact the Media Relations team in the first instance.
  • For commercial filming and events, please direct your enquiry to Nottingham Venues

What you need to know before applying

  • Dates and times: We are unable to support requests during the main exam periods and two weeks before. We are unlikely to grant permission for requests between the busiest times of the day 11am - 3pm.
  • Locations: We can offer suggestions of suitable locations if you provide us with a good description of what you would like to achieve. Some locations are unavailable due to student experience and safety considerations. We don’t allow filming or photography within our silent study zones at any time of year. 
  • Timescale: We require at least five working days notice to process your request. If you are unable to provide this amount of notice, unfortunately, we will be unable to approve your request. 
  • Health and Safety: You will be asked to answer some health and safety questions as part of the form including crew size, equipment, risk assessments and liability insurance.
  • Risk assessment: A full risk assessment for any filming/photography will be required for any request that involves more than two people for more than 15 minutes interior work. Your standard risk assessment may need our input if you are unfamiliar with our libraries.
  • Liability insurance: If you are internal, then please check the university insurance is sufficient. If you are requesting permission on behalf of third party supplier, please have proof of their insurance before applying.
  • GDPR: Please ensure you are familiar with UoN guidance on GDPR including privacy notices and data storage. If a library visitor is the subject feature/focus of shot, then they must be served a privacy notice. 

What can you expect from us? 

Always allow enough time (minimum 30 minutes before scheduled start time) to meet your contact, receive an on-site Health and Safety induction, ready your team and set up your shoot safely and with consideration.  

  • Priority for requests that support teaching, learning and research at the university
  • Confirmation of receipt of the application form within one working day. You will receive a full response with permission granted or declined within three working days. We’ll provide you with a reason why the permission is declined wherever possible, or offer an alternative solution
  • Key contact for further communication and meet and greet on the day
  • Health and Safety induction, and where required support, during the filming/photography process
  • UoN Privacy Notice posters to be displayed at the entrance and throughout. Please note, you are responsible to ensure GDPR is complied with as part of the shoot.
