Email

All staff, students, postgraduates (research and taught) and associates are entitled to a University email account.

Information about:

Official University communications by email to staff and students are sent to University email accounts.

To avoid missing important messages, you should check your University email account frequently.

The University provides all users with an email address in the form of: 

  • username@nottingham.ac.uk  for students
  • firstname.lastname@nottingham.ac.uk for staff

Staff and students can access their email account using a web browser by visiting the Outlook Web Access page and entering their University username and password.

Finding email addresses for other users is easy. University email accounts are automatically listed in the Global Address List which is accessible from Outlook and Outlook Web Access.  Some email addresses may not give you the permission to use them.

Staff should access their email account from a Windows based computer using Microsoft Outlook.  To access items which have been archived, the Enterprise Vault Client Tools must also be installed.

For computers which are not running Windows, email can be accessed using secure IMAP. It is not possible to access archived messages using this method.

 

Accessing my mail from mobile devices

The University mail servers are also configured to allow devices which support active sync or secure IMAP to connect - see documentation.

BlackBerry Enterprise Server

The University runs a BlackBerry Enterprise Server (BES) which lets owners of an Enterprise BlackBerry wirelessly synchronise their data between their device and their mailbox, calendar and address book.

Account restrictions

Student email accounts have the following limits:

  • When a mailbox reaches 40MB a warning will be sent to the user
  • When a mailbox reaches 45MB mail cannot be sent from the account
  • When a mailbox reaches 100MB mail cannot be sent or received from the account

Staff email accounts are configured to use the Enterprise Vault mail archiving system.

When a mailbox reaches a size of 100MB the system automatically moves messages which are over 30 days old into archive area.  The messages in your mailbox are replaced by links to the archived message.

Messages over 15MB addressed to more than 8000 recipients cannot be transmitted to or from University email accounts.

 

Sending messages to groups of people

There are two types of centrally managed lists which can be setup to enable messages to be sent to large groups of people.

  • Distribution lists
    • Can only contain University email addresses
    • Can be restricted for use by specific groups of users
    • Used for smaller lists of users (less than 8000)
    • More efficient when sending internal messages
    • Appear in the Global Address List
  • Mailman lists
    • Can contain email addresses internal and external to the University
    • Can be managed using a web interface
    • Can be used for large list of users

Email security

Measures have been put in place to prevent spam and viruses being delivered to your  email account. The MySpam email filtering service scans email entering the University network for spam, phishing and viruses before being delivered to your mailbox.
