Mail Services

The Mail Services Centre is relocating to University Park in October 2025.

Mail Services goal is to support the University of Nottingham with a first class mail service.

Our aim is to deliver every item of mail as cost effectively as possible, to the correct address, without loss, damage or delay.

Please remember our team are only as good as the information supplied by you. If you change team, building, location or department, please email:

Parcel lockers

For the new academic year (2025-2026) Mail Services has increased the number of parcel lockers available on campus which means that both students and staff can send and receive parcels from our University Park, Jubilee and Sutton Bonington campuses with ease. You can now find InPost, Amazon and Royal Mail at locations on campus allowing you to send and receive items from a location of your choice, in a secure and convenient way. For details on how to use please go here:

Staff mail services

Mail Services supports you with the following services:

  • Internal (UoN) and UK mail
  • Royal Mail Next Day/Special Delivery/Recorded Delivery
  • International mail
  • Overnight services, UPS/Parcel Force

 Frequently asked questions 

Addressing mail 

All mail must be presented correctly - for internal post please include the name, department or team and their school or primary location.

For external mail outline the postage required (first/ second class) include the name and full address includng post code. On the rear of the letter add the return address. See link below for example. 

We can offer internal mail that is tracked and signed for – this needs to be highlighted by writing this on the top left hand corner of your item.

For items to be delivered to you on campus please use your team /building address.

Sending and receiving mail

For University Park & Jubilee Campus

Parcels and letters received at Mail Services within business hours for onward distribution we will aim to  deliver within 24 hours however this could be within 48 hours. We will collect any outgoing mail at the same time.

For any additional collections or urgent outgoing mail, we operate an on demand service. Please email  mailto:bw-MailServices@nottingham.ac.uk to request a collection allowing a minimum of 24 hours notice.

Alternatively, you can drop off outgoing mail at the Building Attendant Office between 8am and 2pm at:

  • Portland Building on University Park
  • Yang Fujia on Jubilee Campus

For City Hospital the campus will receive a collection for outgoing mail once a week. For anything urgent please email  mailto:bw-MailServices@nottingham.ac.uk to arrange an additional collection

Sutton Bonington Campus will receive a collection for outgoing mail once a week from Vet School Reception, Main Building Reception and Central Stores on a Wednesday.

As Sutton Bonington falls under a Leicestershire postcode, royal mail post received will be delivered to Vet School Reception and Central Stores for Biosciences for onward internal distribution.

 You will need to have an incoming mail tray and outgoing mail tray. Mail Services can also provide you with red and green mail bags.

How to address items

When posting something to someone in the UK, write the address like this:

  • Addressee's name
  • House number and street name
  • Locality name – if needed
  • Town – please print in capitals
  • Full postcode – please print in capitals

Mark clearly the service you require in the top left-hand corner of the envelope/packet/parcel.

Mark clearly and separate international letters.

If you want to make sure your post can be returned to you, don’t forget to include your UK return address on each item. Items that cannot be delivered will be returned to you.

 
What is the cost of sending items?

All external mail is sent second class unless the envelope is marked otherwise. It is worth noting that costs are now related to envelope size as well as weight. Departments can save money by folding A4 documents into A5 or DL envelopes where possible.

Sending internal mail within university departments

For University Park and Jubilee Campus Internal mail is picked up when we deliver external mail. In addition, you can request an urgent collection by emailing mail services.

City Hospital and Sutton Bonington Campuses will receive a collection once a week

For Derby Hospital please email Mail Services to arrange a collection allowing 24 hours notice

Please clearly write the receiver's name and department. We encourage the use of recycled envelopes for sending internal mail. Please make sure you cross out any old receiver names and departments. 

 
Bulk mail collection/mail shot

Mail Services requires advance notice of bulk mailings. Please email mailroom@nottingham.ac.uk with the following information:

  • Quantity of items
  • The size of the items – for example letter/packet/box
  • The service you require – for example first class/Royal Mail Special Delivery/courier
  • Location of the collection

All overseas mailings should be separated, all addresses should be orientated the same way and face forward.

 
Lost or damaged goods (enquire about goods that have not arrived)

Moving department

Mail Services require notification if your department is moving location to another room or building. If you would like to have the mail held until the move is complete, or redirected to the new location, please contact mailto:bw-mailservices@nottingham.ac.uk with the following information:

  • Department name
  • Current location
  • New location
  • Moving date
 
Post box locations

University Park

  • Highfields post box on Beeston Lane and Jubilee Avenue roundabout by the west entrance.
  • Portland post box – B floor, south entrance opposite Porter’s office.
  • Cripps Hall post box – located at Welcome Point reception.
  • Derby Hall post box – to the left of the main entrance to the main hall/Echo Bar.
  • Nightingale Hall post box – on the right in the main corridor after the double doors.

Sutton Bonington

  • Campus Agricultural College post box – located on College Road, opposite the entrance to the sports centre.
 
Deliveries not accepted by Mail Services

Please be aware that Mail Services does not accept deliveries of any items below and these should be delivered directly to your department.
