GDPR video guidance

This page outlines what we expect of individuals filming on behalf of the University of Nottingham. Under the General Data Protection Regulation (GDPR), we need to take every opportunity to let people know when we’re filming them, what the footage is to be used for and how we’re going to process their data. Data is not simply contact details, it's anything that could directly or indirectly identify someone. That means that video of a person’s face or a recording of their voice can count.


These guidelines are intended to give you an overview of how to be compliant in the production of video under the GDPR and the Data Protection Act 2018. Where the word ‘you’ has been used in the guidance it refers to the videographer, whether that’s you, another member of University staff/student or an approved freelancer/company.

Our approved freelancers/companies have signed a data sharing agreement with the University and therefore agree to comply with GDPR in how they process data on our behalf. However, on the day of filming, it is the responsibility of the University representative to deal with the forms, privacy policies and notices. Unapproved freelancers/companies should not be used as they will not have signed a data sharing agreement. 

Prior to filming, make sure you are familiar with all the following guidance. Breaching our policies, particularly when filming children or sensitive material, will be treated with the utmost seriousness.
