Leaving halls or the University

I am thinking of going home, what should I think about and what does this mean for accommodation?

 We understand that some students may be anxious about COVID-19 and the increasing safety measures being put in place across the country.

Further restrictions have now been introduced locally, with Nottingham placed in lockdown by the government. In practice, this will not, in broad terms, affect what we have been doing at the University. We will continue to provide you with blended teaching and learning as our teaching spaces are designed to be COVID-safe and you will still be able to mix freely within your household. We urge every student, wherever they are, to continue to be vigilant and follow the current government guidance, both local and national and keep up to date with changes to it.

If you are not isolating, then, subject to complying with current government regulations and guidance, you are free to leave Nottingham if you so wish. However, before making such a decision, you should consider very carefully the possible implications of doing so.

The COVID-19 situation across the country will keep changing. If you leave, it’s possible where you travel to may become subject to COVID-19 restrictions too. This could limit your ability to return to Nottingham and if your course relies on in-person learning activities such as laboratory work then you may not be able to study remotely. We would advise you to discuss any risks around this with your personal tutor. If you do want to leave Nottingham and continue studying away from the University, you will first need to apply for remote study. See our remote study policy.   

If you leave Nottingham, your accommodation and student contracts will continue regardless. Your accommodation and education will (subject to what we say above regarding remote study) still be provided and available to you. You should read your contracts carefully so that you understand your rights and obligations.

 
I want to access my studies remotely next semester. Can I have a refund on my accommodation?

Check the Quality Manual for guidance on eligibility for remote study, and then apply through the Student Services web pages.

If your request to study remotely is accepted and you leave halls you are still – in accordance with your contract –liable for the full year’s accommodation fees

 

I have decided not to continue with my studies and leave the University. Can I get a refund on my accommodation? 

Where a student has suspended[IK1] [TC2]  or withdrawn from the University their liability for accommodation fees may be reduced in consideration of their ceasing to be a full-time registered student.

Liability for accommodation fees will be assessed based on your registration status with the University, the date you plan to leave, the date of your leaver’s request submission, and any exceptional medical considerations/circumstances (supporting documentation will be required).

Current students in accommodation - Covid-19 Updates 2021 

What is the University doing about accommodation charges for University owned/leased and managed accommodation?  

 

  • To date the University has been able to offer a package of financial support for students who are not studying on a programme that has resumed in-person teaching AND who are not using their room in University owned, leased or managed accommodation.    
  • The University can now confirm that this financial support will continue until the end of students’ contracts and there will be no charge for students who have not been previously invited to return for face-to-face teaching in the January, March and April cohorts AND who decide not to return this academic year – see details below.   
  • If you have not been previously invited to return for face-to-face teaching in the January, March and April cohorts: 
  • and you are not occupying your accommodation, the University will not require you to pay accommodation fees for the period from and including 10 January 2021 until your contract end date inclusive; BUT 
  • if you choose to occupy your accommodation for any reason prior to your contract end date, accommodation fees will be due from and including the date on which you commence occupation of your room and payment of any outstanding accommodation fees must be made by 10 June 2021
  • If you have been previously invited to return for face-to-face teaching in the January, March and April cohorts, your accommodation fees will be payable from the date you were permitted to return, regardless of whether or not you occupy your room
 

Will you offer any other rent support to students in University owned/leased and managed accommodation?

  • The government has indicated that it will be keeping student return dates under review and there exists the possibility that returns may be delayed further beyond 17 May 2021. 
  • If this happens, we will reassess the position at that point, but will be under no obligation to extend our financial support on accommodation fees and students should assume that accommodation fees will once again be payable from and including 17 May 2021 at the latest. 
 

What about students who live in third party/private accommodation? 

  • The University continues to liaise with third party and private accommodation providers to encourage them to consider similar measures as ourselves.  
  • However, ultimately, the contractual relationship is between the student and the third party company or private landlord, which means that students remain liable for accommodation fees as set out in their contract.
  • The Students’ Union advises that as you are legally liable for your rent, you should continue to pay it, but to check if your contract has a break clause and speak with your provider to see if you can negotiate an agreement with them. I am living in a Unite property
  • Eligible students will receive a 50% discount on rent for a total of 4 weeks, beginning on Monday 18th January.
  • Applications for the rebate must be received by 14 February, and the discount will be credited to student accounts in March.
  • This offer is open to students who are not in residence in their Unite Students property between 18 January and 7th March, and they must have paid their account in full (to January 31); students who cancel their contract during the 4-week period will not be eligible.
  • Any student who is currently struggling to keep up with rent payments is being urged to contact Unite Students, as well as their university’s student services team, for support.

 

 
I am living in a Derwent Students property
  • Eligible students will receive a 30% discount on rent from the 5th January until the government restrictions are lifted or the duration of term two. 
  • Applications for the rebate must be recieved by 12th February. 
  • This offer is open to students who are currently not in residence in their Derwent Students Property; must be up-to-date on rental payments without any arrears; have a current tenancy and do not cancel or leave the contract during term 2. 
 

 When will MyNottingham account reflect these changes? 

    • For those students who have not been previously invited to return for face-to-face teaching in the January, March and April cohorts AND who decide not to return this academic year, payment of any outstanding accommodation charges for the 20/21 academic year must be made by 10 June 2021.
    • In all other cases, payment was due on 14 May 2021; where appropriate, credit from Term 2 was applied at this point alongside charges for Term 3.
 

Will I be required to pay my accommodation charges if I return to my room, but then decide to leave again shortly afterwards?

  • Yes. If you leave your accommodation at any point after commencing occupation of it, you will remain liable for accommodation fees even if you are not in your room.
 

Will you offer refunds on accommodation charges for the autumn term? 

  • No. In accordance with your accommodation contract, the University was entitled to charge, and you were liable to pay, accommodation fees for this period. However, the University will not be requiring students to pay for unoccupied University owned/leased and managed accommodation for the spring and summer term if they have not been previously invited to return for face-to-face teaching in the January, March and April cohorts.
 
Will I be required to pay my accommodation charges if I return to my room, but then decide to leave again shortly afterwards?
· Yes. Once you are back at university, the government expects you to stay there. If you leave your accommodation at any point after commencing occupation of it, you will remain liable for accommodation fees even if you are not in your room.
 

 

I have already paid my Term 2 and/or Term 3 instalment - how do I obtain a refund? 

A credit will be applied to your account according to your circumstances.
 

am not studying a programme where government has permitted in-person teaching, but what if I choose to return to my University owned/leased and managed accommodation in any case to study or take exams? 


    • If students choose to occupy their University owned/leased and managed accommodation, the University will charge them accommodation fees from and including the date they commence occupation of their room. 
    • Please note that if you leave your accommodation at any point after commencing occupation of it, you will remain liable for accommodation fees even if you are not in your room.
 

 

 am studying a programme where government has already permitted in-person teaching, but I do not want to return, will I still be charged for my accommodation? 

    • Yes, as you are permitted by the government to return for in-person teaching and have been told by the University to return, you will be liable to pay your accommodation fees from the date you were permitted to return.
    • We would encourage you to attend in-person teaching when the government specifies that you can, so that you can take full advantage of this and the facilities available to you on campus. 
 

 

I think my programme is on the government’s list of subjects where students can resume in-person teaching, but I have not been invited back to campus? (eg Genetics, Natural Sciences). 

      • Please be assured that our decisions have remained in line with the government guidance.
      • In this circumstance, where you have not been invited to return to campus for in-person teaching and you are not occupying your University owned/leased and managed accommodation, you will not be required to pay accommodation fees for the period from and including 10 January 2021 until the contract end date inclusive.  
 

Will you offer refunds on accommodation charges for students who opted for remote study in term 1 or before the lockdown? 

    • There will be no refunds for Term 1. In accordance with your accommodation contract, the University was entitled to charge, and you were liable to pay, accommodation fees for this period.
    • If you were approved for remote study for Term 2 onwards, we will not require you to pay for unoccupied University-owned/leased and managed accommodation for the period from and including 10 January 2021 until your contract end date inclusive.
 

How do I check in when I arrive back to campus?

  • All students who return to campus must attend either EMCC or Jubilee Hall to check in and complete arrival testing. You can book your slot here
  • Please do report your arrival as a failure to do so would be a breach of the measures we have in place to protect everyone in our community from Covid-19 and could even lead to disciplinary action. 
 

 

I live in a Student Roost property, Nottingham 2 / Hydrogen

To receive this discount, residents need to:

  • apply for the scheme using this online form by 23:59 (GMT) on Monday 25 January 2021
  • have been away from the property before 5 January 2021 when these restrictions came into place across England, and be affected by the government advice in England and the devolved nations not to travel
 

 

Applying for accommodation

When can I apply for accommodation?

Applications open on Monday 1 March 2021 for students who have firmly accepted their offer (conditional or unconditional) at the University of Nottingham.

 
I am having trouble accessing the accommodation portal? 

If you are experiencing issues with the accommodation portal please try the following steps:
- Delete cache data                                                                                                                                          -- Use a different web browser or device

 
Which ID number do I need to use to make an application?

Undergraduate: You will need your UCAS personal number (10 digits) to access the online form and complete registration (such as 1234567891). If you are unable to enter a UCAS personal number, please contact your school or college for further details.

Postgraduate: You will need your Application ID (8 digits) to access the online form (such as 12345678).

Check when entering your details that no spaces or dashes are included in the ID number – this is a common user error.

 
I cannot register for an accommodation account. What should I do?

Ensure you have made Nottingham your firm choice and allow 48 hours after accepting your course offer before registering on our online portal.

If you have made Nottingham your insurance choice, you can only apply for accommodation if you change your reply to firm.

Check when entering your details that no spaces or dashes are included in the ID number – this is a common user error.

 
I have registered but I cannot log into my account. What should I do?

You need to validate your email address once registered for an account and then log in using your details. Your username is your email address and password you would have set up upon registration however, this can be reset.

Please check spam and junk folders for the email to validate your email address.

 
I cannot verify my details to make an account. What should I do?

Please ensure you firmly accepted your course offer at least 48 hours ago. Check when entering your details that no spaces or dashes are included in the ID number – this is a common user error.

Am I guaranteed University-arranged accommodation?

We will guarantee you a room in University-arranged accommodation* for one year if you:

  1. firmly accept your offer of a place on a course at the University of Nottingham
  2. apply to us for accommodation by midnight on Saturday 12th June 2021 as a UK student or by midnight on Monday 2nd August 2021 as an EU or international student
  3. accept your accommodation licence/tenancy agreement and the terms and conditions by the deadline given in your residential offer letter

* In order to fulfil our guarantee we may offer accommodation that is not in one of our advertised residences. We may also offer temporary accommodation or a place in a room shared with another student for a short time. We offer this until we are able to transfer you to suitable permanent accommodation.

 
In catered halls what is the difference between a 31 and a 39-week licence?

31-week licence is term-time only.

39-week licence includes four weeks of accommodation during Christmas and four weeks of accommodation in Easter vacation on a room only basis.

You will be required to fully vacate your room during the vacation periods unless you have booked a 39 week licence.

 
Will I get my first choice of accommodation?

Rooms are allocated by date order and we therefore recommend you apply as soon as you can once you have firmly accepted your offer with the University.

You shall need to make a minimum of three choices on your accommodation application so ensure you choose these according to your preferences.

 
The accommodation I wanted to apply for is not showing on the online application form, can I still apply for it?

Unfortunately not, if we no longer have any availability for a certain room type/site then the relevant option is removed from the online application form. You will need to make your selections based on the preferences listed as available at the time of application.

 
I have submitted my application, can I change my preferences?

Once you have submitted your accommodation application it is not possible to amend via the accommodation portal.

If you have made an error on your application, you will need to email us. Please remember to include your full name and ID number in all correspondence.

 
How much is the accommodation?

Insurance, Clearing and Adjustment applicants

How do I apply for accommodation if I get a place through clearing? 

 If you receive a provisional offer through Clearing, you will receive an email which will also include a link to the online accommodation Clearing application. Please contact the Clearing hotline on 0330 041 5590 if you have not received the email. 

 
 The University of Nottingham was my insurance choice, how do i apply? 

 If you originally chose The University of Nottingham as your insurance option and we now are your firm choice you will need to register and login to the online accommodation portal: https://accommodation.nottingham.ac.uk/

 
Am I guaranteed accommodation with the University?

Although we are not able to guarantee a place in university arranged accommodation, we are confident that we will be able to help you find a room. 

 
I did not get my grades but now have accepted an offer through clearing, do I need to apply for accommodation again?

If you have applied previously and you held an accommodation offer, but you now have an offer through Clearing, you need to contact the Accommodation Office as your accommodation offer will be subject to review. 

Please contact Accommodation Services by completing the enquiry form with the reason for enquiry as “Please hold my accommodation - Clearing”.  

 
Can I apply for a room in a specific hall?

We are unable to accept applications for specific catered halls, when you apply you will be asked to indicate your preference from self-catered sites or catered sites, plus preferred room types and licence lengths. We do advise to have a variety of options in mind.

 
I have specific medical needs which affect the accommodation I need, how can you help?

If you have a medical condition or disability, we will do our best to help you with your accommodation requirements.  Please contact us via our enquiry form with the reason for enquiry as “Medical/Disability Request”. 

 
I have had an offer of accommodation but would like to change it?

Due to limited availability it may not be possible to change your offer and we would advise you accept as soon as possible.  If there are financial or medical reasons for requesting a change, please contact us via the enquiry form detailing the reasons for your request and they will review how they can help. 

 
I only require accommodation for one semester?

If your course is taking place from September – January (Semester 1) you will need to apply through the online accommodation form.

If your course is taking place from January – June (Semester 2) the applications will open in October. Further updates will be available on the website closer to the time. 

 
How do I pay my accommodation fees for University of Nottingham halls or UPP Broadgate Park accommodation?

An advance payment of £250 is due by 7 September 2020 for University of Nottingham accommodation with the balance of your term 1 fees due by 30 September 2020.  You will be able to pay via MyNottingham from 1 September onwards.  For further information visit https://www.nottingham.ac.uk/accommodation/before-you-arrive/paying-your-fees.aspx
